What is required to use WebCCS?
To use WebCCS, the user will need an email account, Internet access and one of the latest browsers
(i.e., Netscape 4.0 or above, Internet Explorer 5.0 or above).
Note: Netscape 4.0 does not honor page breaks.
-
To access to the WebCCS user site, send an email to WebCCS User Registration that includes your CLP Laboratory Code,
full Laboratory Name, User Name, and the email address(es) where you like WebCCS results sent.
-
After registering, download the WEBCCS File Preparation program from the WebCCS site. This
program will concatenate all the lab files for a particular Sample Delivery Group (SDG) Number into one file. The data files
must contain appropriate information in the "Case number", "Contract number" and "SDG number" fields
for the File Preparation program to work.
The WebCCS File Preparation program will extract the 'Case number', 'Contract number', and
'SDG number' information from the data files to assign a new name: for example, SDG files
MFD014.I01, MFD014.I02, MFD014.I03 and MFD014.I04 for Case 27777, contract number 68d5777 will be
renamed as A27777.D5777.MFD014.
Visit the New Users page for detailed information on registering and using the WebCCS File Preparation program.

How often could a laboratory run an electronic deliverable/file on WebCCS?
There are no limits on the number of times an electronic deliverable/file can be processed through
WebCCS prior to delivery to EPA.

Could a CLP laboratory submit electronic deliverables through WebCCS?
No. In accordance with current CLP laboratory contracts, hardcopy and diskette deliverables must be
delivered to EPA in order to establish a Data Receipt Date (DRD).

How will the laboratory be informed of the WebCCS results for an uploaded SDG?
The laboratory will receive two e-mail messages within approximately 20 minutes if the SDG passed
the Initial Assessment (IA) checks (i.e., if the data is compliant with the structural requirements specified in Exhibit
H of the Statement of Work [SOW]). The first email message will cover the IA results for the SDG.
If the SDG passed the IA checks, the laboratory will receive a second email containing the
technical (full assessment) results within few minutes. However, if the SDG failed the IA
(structural) checks, the laboratory is expected to correct the error(s) reported on the IA report.
In this situation, technical (full assessment) results will not be sent.
Exception: If the uploaded electronic data generates an IA error message with regards to a
discrepancy with information on the Traffic Report, the system will continue to proceed and provide
the technical results for the SDG. The lab is required to refer to the discrepancy IA report for the
appropriate correction(s).

How do I get my WebCCS reports to print properly?
-
Make sure that your email program is able to print advanced HTML. Microsoft Outlook 2000 has been tested and
been shown to print WebCCS reports correctly.
-
Save the email as an HTML file and opening and printing the file withh Internet Explorer 5.0. Netscape 4.0 does not acknowledge the
page breaks, and will not print this HTML file correctly.
-
Make sure that the report is being printed with a landscape orientation.
-
If you use an email account with Yahoo, Hotmail or one of the other free web-based email services, they
print correctly when used in conjunction with Internet Explorer 5.0.

What if I don't recieve my WebCCS report?
-
Confirm that the email address listed is correct by clicking on
"Access Parameters" after logging on the WebCCS site.
-
If the email address listed is correct and WebCCS consistently failed
to email the results for an SDG, upload a different SDG to check if the
situation is unique to that particular SDG. If you receive WebCCS result for
the second SDG, go back to the first SDG and rename the Case number and then re-submit the data.
Please notify the WebCCS Help Desk if this situation occurs.
-
If the problem persists and you still have not received your WebCCS
results within an hour of uploading the data, please call the WebCCS Help
Desk.
